Client/Group Co-workers

Client co workers
  • This option gives you ability to assign one or more co worker to serve the client.
  • If you do not assign co worker they will not be able to see any client on their end.
  • You can assign co worker by clicking on desired client, go to plus icon and from drop down menu choose co workers name then click submit.
  • To the right of the table once you click on the client you will see all co workers serving that particular client.

Push on settings only serves Admin users. By default Admin is not getting any push notifications or counters if this option is not activated.

Admin is able to Subscribe on Client activities Tasks, Chat, Calendar. This means that what ever Client does on Tasks, Chat or Calendar Admin will be notified too.

Admin can activate this option by going to wheel icon on the right side of the Client's plate then click on the Pen, slide the slider next to the option then save it.

Icons in the middle of the plate are shortcuts of the options to that client.

Create User/Group

Create User

First you have to create users for your team in order to be able to use the software.

You have 4 different choices of users:

  • Admin profile- Can see everything on the system. No restrictions. You can have more then one Admin user inside the app.

  • Co worker profile- Can only see Clients that you assign to through Client Co workers option. This action can only be done by Admin on the system. Co Worker is able to communicate with all Admins users and other Co workers in the app.

  • Client/Group profile- Can see Co worker on the system once admin assigns it and can communicate with him. In group chat can also exchange messages with admin and all co workers.

  • Group user gives you ability to create new group assign co workers and guests to participate in it. Admin Client can also subscribe to the group by going to Administration/Client/Group Co Workers.

  • Guest profile- Is connected with Client user and Client user only. Co worker once it gets assigned, Admin and Client can invite or open guest profile that will serve that particular Client user.

This option gives you ability to send email invitations for users.

After you select type of user and his email address user will receive email with link so he can register.

On the bottom you can see invitation status expired, pending or registered.

Resend button serves as to resend the existing invite.

If invite status is expired and you want to send invite to the same email address you have to go through send process again.

Admin Client, Clients, Co Workers and Guest pages gives you ability to check users by the roles. On these pages you can change their user info, deactivate and activate user, set up notification settings and more...

Task

The user that creates a task is requestor. He can not be changed and will always be getting push notifications and counters for that task.

Added option is the option where anyone who is on the task can add other user to participate on that task. Co worker users if they are not on the task they are not able to see that task until they got on the added list.

If task is created without Client/Group user you can not add client/Group user later.
If you have Client/Group on a task and you want to send an invite to a new Guest user or add existing one/remove you can go to little man icon to the right and do it.

Task browse

Browse option gives you ability to upload files on task. All users that are on the task can view or download the files. Little i icon above the browse window give you all allowed extensions that can be uploaded.

Task comments

Comments on the task can be visible for all the users on the task. If at some point you add a user he will see everything from the time that task has been created till present and on.

Calendar

Calendar

Once you open calendar page you will be able to see your personal calendar, companies and other users/groups one as well. By clicking on one of those you will be able to create remainders.

There are Appointment remainder, Call remainder and Remainder as a type of remainders.

Call remainder
  • Call remainder is a option where you can create a remainder with manually imputed name and phone number or you can chose contact from your Phonebook. Easy way of sharing contacts through call remainder calendar.
  • If you use manual input for the call to option you have to use ; separator in order to add more then one name and number( NAME (space) NUMBER;NAME (space) NUMBER...)

  • ?-Icon give you example how to import manually contacts. They will not be imported to phonebook they will be just show on the call remainder.

  • Guests: Once you are on Client/Group calendar day you have ability to create calendar remainder and include a guest profile for that client/group.

Phonebook

Once you open phonebook page you will be able to see your personal phonebook, companies and other users/groups one as well.

By opening phonebook and going to the plus icon you can fill up all the info and create a contact.

Once you have some contacts in your phonebook you will be able to import them in call remainder calendar option.

Chat

Chat

In Chat window you can send messages directly to another user or In a group chat.

Co worker private folder means that you can message other co workers profile directly.

Company folder is a group chat for all admin clients and co workers on the system.

Clients/Groups folder is a group where all assigned co workers to that client/group are together. As many co workers as you assign to particular client/group will be able to see messages.

Overseen folder is just for admin user. In this folder admin is able to see all individual rooms of other users but can not message in them.
