Role-Based Calendar Control: Visibility, Access, and Security
The World Wide Assist calendar system is designed with role-based control to ensure every user has the right level of access to calendar information. Each role interacts with the calendar differently, providing flexibility, collaboration, and strong security across the platform.
This structure ensures calendars remain organized while protecting sensitive client and company data.
How Role-Based Calendar Control Works
Calendar access in World Wide Assist is individual and role-specific. Users can only view calendars and create reminders within the scope of their role and assigned relationships.
Access is enforced at the system level, meaning users cannot see calendars or client data they are not authorized to access.
Calendar Access by Role
Administrator
Administrators have the highest level of calendar visibility:
- Can view all calendars in the system.
- Maintain oversight across clients, co-workers, and guest users.
- Ensure smooth coordination without interfering with personal calendar data.
This role provides complete visibility for management and operational control.
Client
Clients have access to:
- Their own personal calendar.
- Visibility of guest users assigned to them.
Clients can create reminders directly within their personal calendar and attach those reminders to an assigned guest user. This allows clients to coordinate calls, appointments, and reminders with their guests while keeping all scheduling information centralized.
Clients cannot access calendars belonging to other clients, co-workers, or unassigned users, ensuring privacy and secure role-based control.
Co-Worker
Co-workers have controlled calendar access based on assignments:
- Can access their own personal calendar.
- Can view calendars for clients they are assigned to.
- Cannot see calendars of unassigned clients or unrelated users.
If a co-worker is not assigned to a client, the system blocks access to that client’s calendar entirely. This ensures collaboration happens only where permission is explicitly granted.
Guest
Guests are connected to a specific client and can:
- Access their own personal calendar.
- View calendar information related only to the client they are assigned to.
Guests cannot view other clients’ calendars or system-wide scheduling data, keeping access limited and secure.
Built-In Security and Access Control
World Wide Assist enforces strict calendar permissions:
- Calendar visibility is restricted byrole and assignment.
- Users cannot access calendars outside their permitted scope.
- Unassigned users are automatically blocked from viewing unrelated client calendars.
This security model prevents unauthorized access while supporting efficient collaboration.
Why Role-Based Calendar Control Matters
- Protects client privacy and sensitive scheduling information.
- Keeps calendars relevant and clutter-free.
- Enables secure collaboration between clients, co-workers, and guests.
- Scales easily as teams and client relationships grow.
Designed for Control, Clarity, and Security
With World Wide Assist’s role-based calendar system, every user sees only what they need to see — no more, no less. This ensures a powerful, organized, and secure calendar experience for everyone on the platform.
